Travel Guidelines and Reimbursement Process
Thank you for your interest in attending a CSU Student Success Network convening. The Network will reimburse participants for travel costs to attend the meeting, however each participant is responsible for making his/her own travel arrangements. Please read carefully through the information provided below before booking your travel. If you have any questions about travel arrangements or the reimbursement process, please contact Dylan Lohmeyer at firstname.lastname@example.org or (916) 278‐7220.
Booking your travel.
The Network reimburses participants for travel costs in alignment with the CSU travel guidelines. Please follow your campus travel policies and procedures for reimbursement by general fund monies (not external grant funding) when making your travel arrangements.
Network convenings are designed to enable most participants to travel in and out on the same day. Resources are available for one night of lodging on a case‐by‐case basis. Please contact Dylan immediately if you require lodging for your participation.
If your campus is within driving distance of the convening, please consider carpooling with your campus colleagues to reduce costs. If you must fly to attend the convening, please book your travel as soon as possible to take advantage of lower airfare rates or airline discounts.
Attendees are expected to be present for the entirety of the convening. Please do not book returning flights until after 6:30 p.m. on the day of the convening.
The Network will provide breakfast and lunch for all meeting participants. If additional meals are required due to travel, they will be reimbursed in accordance with your campus’s travel policy.
Your travel costs will be reimbursed directly by your campus. Once your travel claim has been submitted and paid by your campus, please have your travel administrator email a copy to Dylan. The Network will reimburse the campus using the CPO process. Note: Only general fund dollars used for travel will be reimbursed.
To help with this process, we will ask you to provide the name and contact information for the department staff person handling your travel, as well as the appropriate chartstring for reimbursement.
A copy of your paid travel claim must be submitted to Dylan within six (6) weeks of the event in order for your campus to receive reimbursement from the Network.
